Terms of Service
Last updated: 30 July 2026
These terms are the agreement between you and Octa Systems Ltd, trading as Octa Digital ("we", "us") — the company that makes and runs Vault3. They apply whenever you use Vault3 at vault3.com, and you accept them by creating an account or using the service. We have kept them short and readable on purpose; if anything is unclear, write to us at [email protected].
1. What you are signing up for
Vault3 is a place to keep passwords, notes, cards and identities where only you can read them. Everything you save is locked on your device before it reaches us, using a key made from your Master Password and your twelve-word Secret Phrase. What that means for this agreement is unusual and worth stating early: the service we provide is storage and syncing of material we cannot open, so several things you might expect from an online account — a password reset, support looking something up for you, recovering deleted contents — are not on offer here, and the sections below say so plainly.
2. You are the only key-holder
Because we never hold your Master Password or your Secret Phrase, we cannot reset them, recover them, or open your vault for you. Nobody can do that but you, and that is the arrangement you are agreeing to.
- Keep both secrets safe. Your Emergency Kit is made for this: keep it somewhere secure, and preferably off your computer.
- If you lose your Master Password and your Secret Phrase, what is in your vault cannot be read again — by you or by us. The only way onwards is to delete the account and start a new one, which erases everything in it.
- Keep your email address up to date: it is how you sign in and how security alerts reach you.
- What happens under your account is your responsibility. If you think someone else has got in, change your Master Password straight away and check your signed-in devices in Settings.
3. Acceptable use
Use Vault3 for lawful purposes only. Please do not:
- store or pass on material that is illegal, or that infringes someone else's rights;
- try to get into other people's accounts or vaults, or into any part of our systems;
- probe, scan or test the service for weaknesses without asking us first, or interfere with how it runs — for example by working around rate limits or sign-in checks;
- resell the service, license it on, or offer it to other people as your own;
- put unreasonable load on it, or spoil it for everybody else.
If you find a security weakness, please tell us at [email protected]. We take reports seriously and we will reply.
4. Beta status and availability
Vault3 is a free beta at the moment. We work hard to keep it dependable, but we cannot promise it will never be unavailable, and features may change, arrive or disappear while the product finds its shape. If a change affects you in a way that matters, we will give you reasonable notice by email or in the app.
Your locked vault stays yours whatever we change. One thing we will never add is the ability to read it.
5. Limitation of liability
The service is provided "as is" and "as available", without warranties of any kind, express or implied, as far as the law allows.
As far as the law allows, Octa Systems Ltd is not liable for indirect or knock-on losses, lost profits, or lost data arising from your use of the service — including losing access to your vault because a Master Password or Secret Phrase was forgotten, which by design we can neither prevent nor put right. For a free beta service, our total liability to you across all claims is limited to £100.
Nothing here limits liability that cannot be limited under the law of England and Wales, including liability for death or personal injury caused by negligence, or for fraud.
6. Changes to these terms
We may update these terms now and then — when we add features, or when the law changes. If a change is significant, we will tell you by email or in the app at least 14 days before it applies. Carrying on using Vault3 after that means you accept the new version; if you would rather not, you can delete your account at any time.
7. Ending your account
- You can delete your account yourself, from Settings, whenever you like. It is immediate and final: your locked vault and account details are removed and cannot be brought back.
- Items you move to the trash stay there for 30 days, then go for good.
- We may suspend or close an account that seriously breaches these terms, or where the law requires it. Where it is practical and lawful, we will warn you first and give you a chance to copy your things out.
8. Governing law
These terms, and any dispute arising from them or from your use of Vault3, are governed by the law of England and Wales, and the courts of England and Wales have exclusive jurisdiction. If you are a consumer, you keep whatever protections the law of your own country gives you regardless.
9. Who we are, and how to reach us
Vault3 is made and run by Octa Systems Ltd, trading as Octa Digital (octa.sh). Questions about these terms? Email [email protected].
